Free plan and email prerequisites

The provider's pricing FAQ currently lists a free plan with 2,000 contacts, three sales funnels and unlimited email sends. Verify the current limits and required features on the provider's page before signing up. An advertised feature is not a guarantee that your specific workflow will work.

The email authentication instructions require a custom domain with an active website. The domain owner needs access to the correct DNS records. Do not copy another account's records or change an existing business email setup without understanding the effect.

Having a Gmail address is not enough: Systeme's sender-address guidance says Gmail cannot be used to send list emails through the platform. A domain connection allowance is not a free domain registration or mailbox. Check your actual prerequisites and costs; do not buy anything just to complete this checklist.

A practical consulting inquiry workflow

Fictional example: an independent design consultant offers an introductory project call. The goal is to capture a relevant inquiry and agree on a next step, not add every visitor to an unsolicited email sequence.

  1. Write one clear invitation. Explain who the service helps, what the first conversation covers, and what happens after someone asks for contact. Do not promise response times you cannot maintain.
  2. Choose one record. Keep the request, date, next action and outcome together. Avoid collecting sensitive project information on an initial form.
  3. Separate inquiry replies from ongoing marketing. Respond to the request the person made. Do not assume a quote request grants permission for an unrelated newsletter. Honor refusals and unsubscribe requests.
  4. Start with one useful response. For example: "Thanks for asking about [project]. What outcome matters most, and when would you like to begin? I will review that before suggesting a next step." Adapt this original example to the real conversation.
  5. If automation is justified, verify it before relying on it. Follow the provider's campaign setup guide, choose the correct sender and test with an address you control. Confirm the form, subscription action, timing, replies and stopping behavior. ToolProwl has not tested these inside a merchant account.
  6. Review real outcomes. For 14 days, note relevant inquiries, replies, booked conversations and clients. If no suitable visitors reach the page, improve delivery before adding more automation. A form or campaign cannot supply an audience by itself.
